BookWhere Tips & TricksRefining the Analysis Window DisplayWhat is the value of BookWhere's Analysis Window?It is a way to filter and sort records. What might you want to filter? You can distinguish between print and audio forms by using material type. Or you can filter by publisher. Perhaps you want to see Series Titles and use that field as a filter. Here's how to show Series Title information in the Analysis Window: Select Options-->Settings-->Rules to
see the Display
Windows pane.
Open the Analysis folder by clicking the + next
to the folder name. The heading Series Title in the Rules window exists already. To add it to the Analysis display, just highlight the Series Title rule and then click Include Rule to move it to the Analysis Display headings. Click OK to save. You can move the Series Title field up or down with the Up>> and <<Down buttons in the middle of the Rules window. Adding another field to an existing Display RuleHow do you know what fields are selected for a particular heading? What if you want to add a new field to an existing heading?In the Series Title example, you can see see what fields are displayed. Click the + next to Series Title button. Click MARC21. Currently, field 440a (series statement) and 830a (series uniform title) are the only fields defined. The 490 tag is used for a series statement for which no series added entry is traced or for which the added entry is traced in one of the 800-830 fields but in a different form. Many libraries still use field 490 for their series statements. Here's how to add 490a to this Series Title analysis. Select Series Title heading in the Rules window. Highlight MARC21 heading and then click the Add Field button. Extracting a PatternFrom the Extract Pattern dialogue box, choose Extract a Pattern and put 490 in as name and $a for pattern. Click OK to save, then Cancel to return to the Rules pane. Now that you have finished refining your Series Title Analysis folder, you can search for an author who has many series, like Nora Roberts; and see how helpful it is to see and be able to group by Series Title. Try different rules to see what works best. It's so quick and easy to change the rules that you may find that you change the display frequently to improve workflow.
MARC Notepad Tips & TricksCreating a New MacroDid you know that you can create a macro that removes unwanted tags? Or that you can have a macro add local tags? Did you know that you can use macros in individual records or have a macro run on a batch of records? You can and it's easy to do! There are two ways to create a new macro:
Syntax ADD 041 1 $aeng$afre or ADD
041 #1 $aeng$afre Please note that you can use spaces or hash marks (#) to designate blank indicator values. The above example will add tag 041 with a first indicator of 1 and a blank second indicator and will insert two subfields “a” containing “eng” and “fre” respectively. Selecting multiple records and running a macro in batch modeThe following screen shows how to add a holdings tag 852 to a selected group of records. When the macro finishes, MARC Notepad displays an update message: How do you add holdings via a macro?The 852 tag is defined as an ADD tag with blank indicators. Remember
that you can use <spacebar> or hash marks (#) to indicate blank
indicators. Alternatively, your macro can read “ADD 852 ## $aNUC$binst$bsubloc$bcoll$hFIC etc.” Just be sure to have a space between field number and indicators and between indicators and first subfield. How do you set a macro to remove more than one fieldJust enter REMOVE field number on separate lines until
you have defined each field (or tag) that you want to strip out. In this
example, our macro is defined to remove all 9xx tags.. Run macros automatically against BookWhere recordsA macro can run automatically when the record comes into MARC Notepad from BookWhere's Send To-->MARC Notepad function. How do you make this happen?The Options-->Settings-->General tab has
a box On
SendTo run Macro. If you check this box, you are prompted
for the default macro for records sent from BookWhere.You can also
run a macro at the time of editing in MARC Notepad. Just choose Edit-->Run
macro (or use the macro shortcut key) when you have a record opened
in MARC Notepad edit window. How do you use a shortcut key?Each newly created macro receives a shortcut key that you can use
to bypass the Edit--> Run
macro-->Click macro menu to view the shortcut keys. Use <Alt>+0, for
